PaperKeep guide

Keep papers useful.

A practical guide to adding documents, reviewing details and finding them again.

Add your first document

Tap + and choose Scan pages, Import PDF or images, or Choose photos. Review the pages, enter a meaningful document name and choose a category if useful. Save only when you are happy with the selection. Scanning depends on Google Play services availability.

Identity papers and useful pages

Choose Passport, Driving licence or another type from suggestions or Browse all types. Use the dedicated page slots to choose or capture each side, replace a photo and add extra pages when needed. An existing multipage PDF can stay as one file. Passport slots are for personal organisation, not official application requirements.

Bank fixed deposits

Choose the dedicated Bank fixed deposit option and add a photo or advice PDF. Record the bank, deposit reference, amount and maturity date when known. Verify the maturity date against the original; a purchase or issue date is not a deadline.

Organise and link papers

Use a type and optional category, person or related-item label to make documents easier to recognise. Link related records when useful. A link is context you confirm; it does not establish insurance coverage or legal validity.

Text extraction and search

Text extraction makes supported documents searchable. Open the document and expand extracted text to review coverage. Poor photos, handwriting, language or complex layouts may limit recognition. Automatic work prefers idle time and battery above 30%, especially overnight; charging is not required. Use Process now for an explicit request.

Confirm dates and reminders

Check each suggested deadline against the original and confirm it before enabling reminders. Missing, conflicting or unconfirmed dates need your review. Allow notifications and check reminder settings. Android battery policies and scheduling can delay delivery.

Ask and source excerpts

Choose a search scope and enter what you want to find. Find excerpts works without AI. Optional local AI can explain retrieved text with sources; review those sources before relying on an answer. You can stop a long answer and continue reading the excerpts. No result or insufficient evidence does not mean a document guarantees coverage.

Optional local AI

In Settings choose a supported local model, review usage and licence terms, and confirm its download. Compatibility depends on RAM and available resources. Downloads can continue in the background and can be paused. Model hosts receive the download request, not your document contents. The standard app does not enable ChatGPT or cloud AI.

Back up, share and restore

Create a password-encrypted portable backup at a location you choose. Keep the file and password safely before changing phones or clearing app data. Restore the backup on your new device and review reminders. A shared original is decrypted for its recipient, and received copies cannot be revoked by PaperKeep.

Troubleshooting

If import fails, try a supported PDF or image from the Android picker and check available storage. If scanning is unavailable, import an existing photo or PDF. For missing text use Process now, inspect extraction status and try a clearer source. For reminders check confirmation, notification permission and Android battery restrictions. Contact support with app/device details, avoiding sensitive papers.

Frequently asked questions

How is PaperKeep different from a folder or drive?

Answer: A folder keeps files together. PaperKeep adds searchable document text, useful fields, related-paper links and reminders from dates you confirm. It helps you return to the details inside your papers.

Do I need an account or AI?

Answer: No PaperKeep account is required. Search, text extraction, manual organisation and reminders work without AI. Local AI is an optional download on compatible devices.

What can I add?

Answer: Import PDFs and photos, scan paper or share supported files from another app. Keep invoices, warranties, policies, identity documents and bank fixed-deposit advice.

Which passport pages should I save?

Answer: Use Front for the details page and Back for the last or another relevant page, with additional pages when useful. These are personal-vault labels, not a universal passport application checklist.

Why is a date missing or marked for review?

Answer: A document may omit a date, contain several dates or have unclear text. Check the original, correct the field and explicitly confirm the deadline before enabling reminders.

Why is extracted text not ready immediately?

Answer: Background extraction waits for idle time and battery above 30%, with a preferred overnight window. Charging is not required. Android decides when work can run; Process now lets you request it sooner.

Does Ask search one document or the whole vault?

Answer: Choose the search scope in Ask. Matching excerpts help you check the original wording. Optional local AI can explain retrieved excerpts, but can make mistakes or find insufficient evidence.

Are documents sent to a server?

Answer: The standard app processes document contents locally and has no Chaosphere vault-upload service. Google scanning and OCR SDKs may send diagnostic and usage metrics. Model downloads contact the model host. See the privacy policy for details.

What if a local AI model is too large for my phone?

Answer: Local AI availability depends on total RAM, available memory and storage. A model download also requires licence acceptance. If your device is unsuitable, keep using search and manual organisation without AI.

Why did I not receive a reminder?

Answer: Confirm the date and reminder settings, allow notifications and check Android battery restrictions. Today shows approaching dates even when notifications are disabled. Android scheduling does not guarantee exact delivery.

How do I move to another phone?

Answer: Create a password-encrypted portable backup, store the file safely and restore it on the new device. Keep the password: Chaosphere cannot recover a forgotten backup password or lost device key.

How do I delete my data?

Answer: Delete a document in the vault, clear PaperKeep storage in Android or uninstall the app to remove local vault data. Delete imported source files, exported backups and shared copies separately.

Which Android versions are supported?

Answer: PaperKeep requires Android 14 or later. Scanning availability and local AI compatibility vary by device.

Need help with your vault?

Email device, Android version and a description of the issue. Avoid sending identity papers, financial documents or passwords.
